Community quotas let you describe the makeup you want your tester community to have, then watch how close you are to it. A quota is built from filters you save on your community members list, so any segment you can filter for is a segment you can set a target for: an age band, a gender, a region, or an answer to one of your own profile fields.
This matters when your community is meant to represent something. If you recruit for a consumer product and need roughly a quarter of your members to be under 25, a quota shows that share at a glance and tells you how many more people you need. If you run a waiting list, each under-target quota also shows how many people waiting to join would fill that gap, so admitting the right people becomes a couple of clicks instead of a manual search.
Community quotas are granted per account. If you do not see the Quotas tab on your community page, contact your account manager or support to have them enabled.
How to save a community filter for a quota
A quota measures a segment of your community, and that segment is defined by one or more saved filters. Save those first.
Open Your Community and stay on the Members tab.
Apply the filters that describe the segment, for example an age range, a gender, or an answer to one of your custom profile fields.
Click Save filters. If you already have saved filters the button reads Saved filters, and you then click Save current filters.
Type a name in the Filter name field.
Optionally check Allow other admins to use this filter. You can leave it unchecked, because attaching the filter to a quota shares it anyway.
Click Save.
You can use any community filter you saved yourself, and any a teammate shared with you.
How to create a quota
Open Your Community and select the Quotas tab.
Click Add quota.
Enter a Name. If you check a single saved filter before typing anything, the name is filled in from that filter and you can still change it.
Set Ideal min %, Ideal max %, or both. At least one is required.
Under Saved filters, check one or more filters. If you check several, the quota counts everyone who matches any of them, and each person is counted once.
Click Create quota.
To change a quota later, open the menu on its row, choose Edit, and click Save changes. Delete on the same menu removes the quota without touching the saved filters it used.
How to read the quota chart
Each quota shows as a bar on the Quotas tab, and a line above the chart summarizes your community, for example "Your community currently has 120 out of 500 maximum members."
By default the full bar represents your current onboarded community members. If your community has a member limit, a Compare quotas against control switches the bar between Current community size and Max community size. In the max view the full bar represents your limit instead, so each quota's fill and targets show its share of the community you could eventually have.
The colored fill is the members matching the quota, tick marks show your ideal minimum and maximum, and the numbers beside each bar give the matching member count and the desired range. Percentage labels sit under the bar at the end of the fill and under each tick mark. A quota above its ideal maximum is badged Over max.
In the max community size view, a Show waiting list members toggle adds an outlined segment after each quota's fill showing how many matching people are currently on your waiting list. Hover it for the exact count.
Quotas that need attention are listed first. A quota below its minimum shows how many more members it needs and how many matching people are waiting, with a View link that opens those waiting list members in a new tab. When a quota combines several saved filters, View opens a short menu listing each filter with its own count. Someone who matches more than one filter appears in each list, so the per-filter counts can add up to more than the combined number.
A warning icon beside a quota name means one of its saved filters points at a profile field or answer option that has been deleted. Hover it for the message, then edit the quota and swap that filter for a current one.
How to export the quota chart
On the Quotas tab, open the Export menu at the right of the toolbar.
Choose Charts (PNG), Data (XLSX), or both.
Click Export.
The chart image matches the view you have set, including the comparison mode and the waiting list toggle.
Things to know
Only full admins can create, edit, or delete quotas. Other admins with access to your community can view the chart.
Attaching a saved filter to a quota shares that filter with your other admins, so everyone sees the same numbers, even if you saved it privately.
Quota numbers count only members who have completed onboarding. People on your waiting list, invitees who have not signed up, and members partway through onboarding are not in the totals.
The ideal minimum can go up to 99 percent and the ideal maximum up to 100 percent, and the minimum must be below the maximum.
Each community can hold up to 25 quotas, and each quota can use up to 10 saved filters.
Quota numbers are cached and refresh roughly every five minutes.
A member can count toward several quotas at once, so quota percentages do not need to add up to 100 percent.
Filters saved on the community page can back a quota, and so can filters built only from demographic or profile field criteria. Filters saved on other pages, filters saved under a different company, and another admin's private filters are not offered in the quota form.
Deleting a saved filter removes it from any quota using it, and a quota left with no filters counts zero members. The delete confirmation lists the quotas that use the filter, and only a full admin can delete a filter a quota depends on.
To change what a quota measures, edit the quota and select different saved filters. The criteria inside an existing saved filter cannot be edited, so save a new filter instead.
